Simple terms and billing
Clear expectations so there are no surprises.
- **Billing cadence**: Billed every 28 days (13 cycles per year) so work and billing line up in consistent sprints.
- **Minimum terms**: Foundation and Presence: initial commitment of 3 cycles; Authority and Talk-to-Task: initial commitment of 6 cycles. This gives us enough time to install, stabilize, and measure the systems properly.
- **Cancellations**: A quick live call is required to cancel. 14-day notice before your next billing date. No partial refunds for cycles already in progress.
- **Pause policy**: Presence and Authority can be paused once per year for one 28-day cycle. Helpful if you hit a seasonal dip or need a short reset.
- **Hardware (for Talk-to-Task)**: If you cancel Talk-to-Task, return the hardware kit within 14 days. If it’s not returned, the remaining hardware balance is due.
- **Data and privacy**: Job-site audio is handled by your own Plaud AI account. We store transcripts and tasks only; audio retention is opt-in. No PHI under standard plans; HIPAA available via the Healthcare DWY program with a signed BAA.
